Who we are
This website is run by Brooks Agricultural Solutions ("we", "us", "our"), a privately owned, woman-led company based in Sacramento, California, United States. We build cold rooms, packhouses and solar-powered storage for farming communities, working for NGOs, development organisations, companies and large farms.
This policy explains what personal information this website and the systems behind it collect, why we collect it, who can see it, how long we keep it and what choices you have. If anything is unclear, write to us at info@brooksagricsolutions.com.
The short version
- We collect only what you choose to send us, plus a few technical details that protect the website from abuse.
- We do not use analytics, advertising or tracking tools, and we do not load scripts, fonts, maps or videos from other companies.
- We never sell your information.
- Messages are read by people at Brooks Agricultural Solutions. Emails are delivered by an email service provider (Resend).
- You can ask us to show you, correct or delete your information at any time.
What we collect
When you use the contact form you give us your name, email address, the country or location of your project and your message. You may also give us your organisation, phone number, project type and timeline. We also record the time you agreed to this policy.
Technical details stored with each message. To deal with spam and misuse we store a one-way "hash" of your IP address (a scrambled value from which the address cannot be read back) and the short text your browser sends to describe itself (the user-agent). We do not store your IP address itself.
When we reply to you. Our team can reply from the website's admin area. We keep a record of each email we send: the recipient, subject, message text, the date, the names of any attachments (not the attached files themselves) and whether the email service accepted it.
Notes. Our team may add private notes to a message, for example to remember what was agreed.
If you email or call us directly, we keep what you tell us for as long as we need it to help you.
Server logs. Our hosting provider's servers may record technical information about each visit (such as the address of the visitor, the page requested and the time) for security and troubleshooting. These logs are kept for a short period.
Our own staff. The website's admin area holds an account for each team member: name, email address, a scrambled (hashed) password and the time of last sign-in.
Why we use it, and our legal basis
We use your information to:
- read your message and reply to you;
- discuss, plan, quote and carry out a project at your request;
- introduce you to a client organisation, company or partner, but only after talking it through with you;
- keep sensible records of our work;
- protect the website and our systems from spam, misuse and security threats.
Where the law requires a legal basis, we rely on our legitimate interest in responding to people who contact us and running a secure business, on steps taken at your request before entering into a contract, on our legal and accounting duties, and, where you ticked the box on the contact form, on your agreement.
We do not use your information for advertising, profiling or automated decisions, and we do not add you to a mailing list or send newsletters.
Who can see it, and who we share it with
- Our team. People at Brooks Agricultural Solutions who handle inquiries and projects. Each has an individual password.
- Resend, our email delivery service, which processes the content of the notification emails we receive and of the emails we send to you, including attachments, on our behalf.
- Our hosting and database provider, which stores the website and its database on our behalf.
- Builders, engineers, partners and clients we bring in on a project, only after discussing it with you or where a project you asked us to do needs it.
- Authorities, if the law requires us to share information.
These providers may only use your information to provide their service to us. We do not sell your personal information and we do not share it for advertising.
Where it is processed
Our team is in the United States, so your information is processed there. Our providers may also process it in the United States or other countries. If you contact us from outside the United States, you are sending your information to the United States. Where the law requires safeguards for such transfers (for example for people in the European Economic Area or the United Kingdom), we rely on appropriate safeguards such as standard contractual clauses.
How long we keep it
- Contact messages and our replies: for as long as needed to deal with them, and then for up to 24 months in case you come back to us.
- If we work together: project records for as long as the work requires, and then for the period our legal and accounting duties require (usually up to seven years for contracts and financial records).
- Server logs: a short period, set by our hosting provider.
- Staff account details: while the person has access to the admin.
You can ask us to delete your information sooner (see "Your rights").
Cookies and similar technologies
When you use the contact form, the website sets one technical cookie that keeps the form secure against forgery. It is strictly necessary for the form to work, it is not used to track you, and it expires when your session ends or after about an hour of inactivity. Our staff use a similar cookie to stay signed in to the admin area.
We do not use analytics, advertising or tracking cookies. Fonts, images and scripts are served from this website, and nothing loads from other companies' servers, so no other company learns that you visited. We do not store anything else in your browser.
Your rights
Depending on where you live, you may have the right to ask us to:
- tell you what information we hold about you and give you a copy;
- correct information that is wrong or incomplete;
- delete your information;
- restrict or object to the way we use it;
- give you your information in a portable format;
- withdraw your agreement, where we rely on it.
If you live in California, you have rights under the California Consumer Privacy Act (as amended), including the right to know, delete and correct, and the right not to be treated differently for using these rights. We do not sell or share personal information for advertising. If you are in the European Economic Area, the United Kingdom or another place with similar law, you may also complain to your local data protection authority.
To use any of these rights, write to info@brooksagricsolutions.com with the name and email address you used, and tell us what you would like. We will reply within 30 days, or sooner if the law requires.
How we protect it
The website is served over an encrypted connection. Passwords are stored in scrambled form. Sign-in attempts are rate-limited, and the admin signs staff out after a period of inactivity. Photos uploaded to the site are checked and stripped of hidden data such as location, and files attached to emails are limited to PDFs and images. Access to messages is limited to the people who need it, and we keep backups. No system is perfectly secure, but we take reasonable steps, and if a breach affects your information we will tell you as the law requires.
Links to other websites
This website may link to other websites, such as our social media profiles. They have their own privacy policies, and we are not responsible for them.
Children
This website is for organisations and businesses and is not aimed at children. We do not knowingly collect information from anyone under 16. If you think a child has sent us information, tell us and we will delete it.
Changes to this policy
If we change how we handle information, for example by adding a new service, we will update this page and the date at the top. Material changes will be highlighted here.
